1. HOLIDAY HOME RENTAL & MANAGEMENT SERVICE

 

At Cape Living Rentals, we take care of every aspect of renting out your holiday home, allowing you to enjoy the benefits of your investment—without the hassle. While you’re not using your property, we ensure it generates income by handling maintenance, rates, taxes, levies, and even upgrades. With Cape Living Rentals, you can enjoy effortless holiday home ownership while we take care of the rest!

 

We specialize in local Stilbaai Holiday Rental Home Management, offering full-service management, bookings, marketing, administration, and personal guest check-ins and check-outs. Our commission-based fee is 15% of all bookings, excluding optional services such as cleaning, laundry, home maintenance etc. are quoted on, depending the size and structure of the property.

 

We partner with a professional maintenance team to ensure your property remains in top condition, handling upkeep, repairs, and renovations as needed to keep it guest-ready at all times. Our Holiday Home Rental & Management Services Include:

 

MARKETING, BOOKING MANAGEMENT & FINANCE

  • Promoting your property via our website, online booking system, social media, and various digital platforms. Our strategic marketing approach ensures your holiday home stands out, attracts the right guests, and maximizes occupancy.
  • We conduct thorough phone screenings to vet potential guests.Our meticulous tenant screening process ensures a perfect match between guests and your property.
  • We manage all documentation and ensure agreements are signed and deposits are paid.
  • Managing inquiries, bookings, quotations, guest information, invoicing, and payments.
  • Deducting our fees from received payments, then transferring the balance to the owner along with a detailed payout report.
  • Providing monthly financial reports for your records and a full financial statement at the end of each financial year.

 

GUEST ARRIVALS, DEPARTURES & QUALITY CONTROL

  • Pre- and post-stay communication with guests.
  • Ensure the home is prepared and ready to welcome guests with thorough cleaning and airing of the property, a quality check, detailed pre- and post-occupation inventory inspections, amenity replenishment, Wi-Fi testing, and DSTV activation (if applicable).
  • Personal guest welcome, property tour, key handover and initial inspection.
  • Completion of guest registration and indemnity forms, along with acknowledgment of property/complex rules.
  • Supporting guests by handling tenant inquiries, complaints, and special requests.
  • Optional cleaning services available upon guest request (charged to the guest).
  • Handling all guest requests and complaints professionally and efficiently.
  • Comprehensive post-stay cleaning and laundry services (charged to the guest).
  • Collect keys upon departure.
  • Property exit inspection for damages or maintenance needs, with prompt return of the breakage deposit unless deductions are necessary, accompanied by a detailed report.

 

OPTIONAL SERVICES

 

HOLIDAY READINESS

  • Outdoor maintenance, including lawn mowing, trash and garden refuse removal, and pool cleaning.
  • Interior cleaning and upkeep, such as vacuuming carpets, washing floors, dusting surfaces, and airing rooms.
  • Ensuring all appliances are in safe working order.
  • Window cleaning (inside and outside).
  • Bedding change and laundry service.
  • Fridge stocking and grocery shopping upon request.
  • Supply of adequate firewood.
  • Checking and refilling of gas cylinders, if applicable.
  • Arrange DSTV & Internet connections.

MAINTENANCE, INTERIOR DECORATING & RENOVATIONS

  • Basic in-house maintenance services, quoted per project.
  • In-house interior decorating services, tailored to your needs.
  • Major maintenance services provided by reliable contractors, quoted per project.
  • Oversight of owner-initiated renovations and building projects, with regular progress updates.
  • Supervision of approved interior work, with ongoing reporting by the Property Manager.

2. LONG-TERM TENANT PLACEMENT RENTAL SERVICE

 

For landlords who prefer to manage their properties independently, Cape Living Rentals provides essential services to secure a suitable tenant, including:

 

MARKET ANALYSIS & PREPARATION

  • Conducting a Comparative Market Analysis to determine the rental value.
  • Offering guidance on property readiness for leasing.

 

TENANT PROCUREMENT & SCREENING

  • Listing the property as ‘To Let’ under an exclusive mandate.
  • Capturing professional photos for marketing.
  • Advertising across media platforms, agency networks, and tenant databases.
  • Hosting property viewings (open house or individual appointments).
  • Managing tenant applications, financial qualifications, and reference checks.

 

LEASE FINALISATION

  • Presenting the qualified tenant to the landlord for approval.
  • Negotiating and executing the lease agreement.
  • Collecting the first month’s rent, deposit, and other applicable fees.
  • Depositing tenant funds into an interest-bearing trust account (per RHA & PPRA regulations).
  • Conducting a joint incoming inspection with the tenant, including inventory verification (for furnished/semi-furnished properties).
  • Providing both parties with signed copies of the lease and inspection reports.

 

After tenant placement, the landlord assumes full management responsibilities, handling all future communication directly.

PAYMENT & FINANCIAL ADMINISTRATION

  • Monthly collection of rent and service fees.
  • Payment of municipal bills, supplier fees, and contractor costs.
  • Deduction of a pre-agreed management fee before transferring the balance to the landlord.
  • Regular financial statements for both landlord and tenant.
  • Secure record-keeping of all lease-related documents, invoices, and correspondence.

 

PROPERTY INSPECTIONS & MAINTENANCE

  • Routine property inspections with detailed reports and photos.
  • Coordination of repairs and maintenance:
    • Obtaining at least two quotes (except in emergencies).
    • Managing contractor appointments and overseeing work.
    • Verifying completed repairs and informing the landlord.

 

LEASE RENEWALS & TERMINATIONS

  • Sending renewal/termination notices as per CPA regulations.
  • Lease renewal services, including negotiation, agreement execution, and deposit adjustments.
  • Lease termination services, including outgoing inspections, deposit reconciliations, and municipal account finalization.

END OF LEASE REFURBISHMENT

  • Identifying tenant-related damages and arranging necessary repairs.
  • Managing the refurbishment process, from quotations to final approval.
